If you've connected Fundin to Claude, ChatGPT or Perplexity, you can go a step further and have it check in on your behalf automatically — no need to open a chat and ask. This is done using each tool's own "scheduled tasks" feature: you write the prompt once, set a cadence, and it runs in the background from then on.
💡 This assumes you've already connected Fundin to your AI tool of choice. If you haven't yet, see our guides for Claude, ChatGPT or Perplexity first — scheduling just reuses that same connection.
What you can automate
There are 100s of tasks and workflows you can build.
Here are a few ideas to get you started — copy, tweak, or combine these into your own prompt:
Impact/outcomes monitoring: "Every Monday, check Fundin for any campaign where outcome goals are falling behind target, and flag which ones need attention before the next report is due."
Report drafting: "On the 1st of each month, pull the latest outcome data from Fundin for [campaign] and draft the quarterly funder report, ready for review."
Outcomes chase-up, sent automatically: "Every Monday, check Fundin for any grant with an outcomes report due in the next 30 days, draft a chase-up email to the delivery team asking for updated participant numbers, case studies and photos, and send it via Gmail."
New grant triage and drafting: "Every morning, check Fundin for grants added in the last 24 hours, run an eligibility check against our profile, and produce a first-pass draft application for anything genuinely eligible and closing within 60 days."
Pipeline Review: "Every Monday, pull our pipeline from Fundin and summarise what is outstanding for the week and post it to the #fundraising channel in Slack."
Survey data → Fundin: "Every Friday, pull new response rows from our participant feedback Google Sheet, summarise the outcomes captured this week, and note them against the relevant campaign in Fundin."
Case study builder: "Once a quarter, check Fundin for any completed outcome goals with data attached, draft a case study, and save it to our Google Drive case studies folder."
💡 Tip: Run the prompt once manually first to check the output looks right, then turn it into a scheduled task. It's much easier to fix a prompt before it's on autopilot than after.
Setting it up
Claude
Scheduled tasks live in Cowork. Start a Cowork session (or open one you already have), type /schedule, and describe what you want and how often. Claude will confirm the task, its cadence, and what it does before saving it — you can also create one manually via Scheduled → New task in the left sidebar. Requires a paid Claude plan (Cowork isn't available on the free tier).
ChatGPT
Go to the Scheduled page in the ChatGPT sidebar and create a new task, or simply ask ChatGPT directly, e.g. "every Monday at 9am, check Fundin for new matched grants." Make sure Fundin is enabled as a source for that task the same way you would in a normal chat. Requires a Plus, Pro, Business or Enterprise plan, and active task limits vary by plan.
Perplexity
Open Computer → Tasks and describe the recurring task and cadence in plain language, e.g. "every weekday at 8am, check Fundin for new matched grants and email me the highlights." Perplexity will propose a schedule for you to confirm. This uses the same Fundin connector you already set up. Requires a Pro or Max plan (Computer isn't available on lower tiers).
⚠️ Scheduling features and their exact wording are still evolving across all three tools, and plan requirements can change. Treat the steps above as the general shape of the flow, and check the tool's own settings if something looks different.
A few things worth knowing
Most tools cap how often a task can run (typically no more than once an hour) — these aren't built for real-time monitoring, just regular check-ins.
Claude's Cowork tasks may need your computer awake and the desktop app open, depending on whether the task also touches local files — tasks that only use Fundin and other connectors can run without this.
Scheduled tasks still only see what your Fundin account can see — the same organisation-only access as any regular chat.
If a task stops running, check the connection to Fundin is still active first — that's the most common cause.
What if something isn't working?
If a scheduled task says it can't see your Fundin data, check the Fundin connection is still active in that tool's settings and reconnect if needed. If the task simply isn't running at all, check you haven't hit that tool's active task limit, and that the task hasn't auto-paused (ChatGPT, for example, will pause a task it thinks you've stopped engaging with).
