How to review and approve a bid

How to read your draft application, leave feedback, and approve it for submission.

When a bid is ready for you to review, you will receive an email notification. If it is still outstanding, we will send you a reminder every three days.

To view the bid, click the link in the email or log in and find it in the To Review column of your pipeline.

Reading the draft

Open the bid to read through the full draft application. Your bid writer and our AI have written this based on your campaign information, tailored to the specific funder's criteria.

When reading through, consider:

  1. Does it accurately represent your organisation and what you deliver? You know your work better than anyone — check that the detail is right.

  2. Does it reflect the funder's priorities? Your bid writer will have aligned the application to what the funder is looking for, but it's worth checking this feels right.

  3. Are the figures correct? Check any budget figures, beneficiary numbers, or statistics match what you would expect

💡 Tip: You can download the application as a PDF if you'd prefer to read it offline or share it with a colleague before approving.

Leaving feedback

If you'd like changes made, leave a comment directly on the bid. Be as specific as you can — let us know which section you're referring to and what you'd like amended.

Once you've submitted your comment, your bid writer will review it and make the necessary changes. The bid will then be sent back to you for approval.

💡 Tip: The more specific your feedback, the quicker we can turn it around. For example, "the description of our outreach work in the second paragraph undersells the number of people we reach — we support around 400 people per year" is more helpful than "needs more detail."

Approving the bid

When you're happy with the draft, click Approve at the top of the bid. This confirms you are happy for us to submit the application on your behalf.

🔵 Info: By default, we handle submission on your behalf. If you would prefer to submit applications yourself, just let your bid writer know and we can arrange that.

🔴 Important: Please use the Approve button rather than letting us know by email. This keeps your pipeline accurate and triggers the submission process on our side.

What happens next

Once approved, the bid moves out of your To Review column and our team will handle submission. You can track the status of all your applications in your pipeline.
