Understanding your pipeline

How your applications move through each stage, what triggers each change, and what action you need to take.

Your pipeline gives you a live view of every grant application we are working on for you.

Each column represents a stage in the process, and bids move through automatically as work progresses — with only a small number of steps that require action from you.

Opportunities

This is your agreed list of grants we are working through on your behalf. Bids are ordered by priority, which we agree with you when setting up your pipeline.

We work through them in order, automatically moving to the next opportunity once a bid has been approved and submitted.

In progress

We are actively drafting this application. You don't need to do anything at this stage — your bid writer and our AI are working on it based on your campaign information.

To review

Your bid writer has completed the draft and it is ready for you to read and approve. You will receive an email notification when a bid reaches this stage, with a reminder every three days until it is actioned.

🔴 Important: Bids waiting in To Review can affect your pipeline. The sooner you review and approve, the sooner we can submit and move on to the next opportunity.

This is the stage that requires action from you. See How to review and approve a bid for a full walkthrough.

Outcome

Once a bid has been approved, we handle submission and it moves into the Outcome column. You will see one of three statuses:

  • Submitted — the application has been sent to the funder. We are waiting to hear back.

  • Won — congratulations! The application was successful. You can record the amount awarded by clicking into the bid.

  • Lost — the application was unsuccessful this time. See What happens if a bid is unsuccessful for what happens next.

Recording an outcome

When you hear back from a funder, open the bid in your pipeline and click Mark as Won or Mark as Lost. If the bid was successful, you can add the amount awarded so your funding totals stay up to date.

💡 Tip: If you submitted the application yourself rather than through Fundin, you can update the status in the same way — just open the bid and mark the outcome when you hear back.
