Setting up your Bid Library

How to complete your Bid Library and why it matters for the quality of your grant matches and applications.

Your Bid Library is one of the most important things you'll complete when you sign up.

It's the foundation Fundin uses to match you to grants and write your applications - the more complete and detailed it is, the stronger your results will be.

You can find it under Library in the left-hand menu.

🔴 Important: Grant matching and application drafts won't be as accurate until your profile is complete

About

This is the core of your profile. Tell us about your organisation, your mission, and who you support.

  • About your organisation — describe what you do and why. Think of this as your elevator pitch. What makes your organisation distinctive and what impact do you have? (250 words max)

  • People supported — describe who benefits from your work. Be specific about the groups you support and the challenges they face. (250 words max)

Financials

Include your financial information here. Funders routinely ask about your income, expenditure, and reserves, so having this up to date means your grant matches and application drafts are accurate.

Strategy

Add information about your organisation's strategic priorities and plans. This helps align your applications to your direction of travel, not just your current activities.

Governance

Upload your core organisational documents here. These are requested by funders as part of their due diligence process, so having them in place means you're never held up searching for paperwork at application time.

Core documents to upload:

  • Articles of Association (for CICs and charitable companies)

  • Constitution (for CIOs or unincorporated charities)

  • Latest published accounts (ideally two years)

  • Core policies, including Safeguarding, Health & Safety, Equality Diversity & Inclusion, Financial Controls, and Data Protection / GDPR

Documents

Upload your key organisational documents here. This is the most important section — the documents that make the biggest difference are impact reports, case studies, testimonials, and evaluations. If you have them, upload them, since the AI uses these to evidence the need and impact of your work in your grant matches and application drafts.

💡 Tip: Accepted file types: PDF, DOCX, XLSX, CSV, PNG, JPG (max 50MB each)

Persona

This is where you set your organisation's tone of voice and writing style. See Creating your own persona for more detail.

Saved responses

As applications are drafted, a library of strong answers to common funder questions builds up here automatically. These are stored and reused across future applications, saving time and improving consistency.

Notes and funder restrictions

If there are any funders you are unable to apply too. For example where you already hold an active award, add a note in the Notes tab.

You can also use it to give the AI Grant Matching more direction. E.g only show grants above £5k in value.

This keeps your matched grants relevant and avoids wasted time on applications you're not eligible for.

Your Bid Library isn't a one-off task, come back and update it whenever things change.
