Fundin's Reporting feature helps you track how the funding is being spent and the difference it's making and when it's time to report back to the funder, you can export everything as a polished PDF.
Creating a report
You can create a reporting record at any time from the Reporting section in the sidebar.
Click + Create reporting and you'll be taken to the Reporting Configuration screen.
Here you can:
Give your report a title
Link it to a won application, or choose a campaign and grant manually — or leave these blank and link it later
Choose which sections to include in your report
Once you've saved your configuration, your report is ready to fill in.
Configuring your report
Click Configuration at any time to adjust your report settings. You'll see two groups of sections:
Always included (locked)
Logo — your organisation's logo, shown at the top of the exported PDF. Upload it once and it's saved across all your reports.
Dates — the funding start and end dates.
Optional sections — tick any of the following to add them to your report:
Section | What it's for |
Budget tracking | Record planned vs. actual spend for each budget line. You can import from a spreadsheet or add lines manually. |
Impact statement | A free-text section to describe the difference the funding is making — outcomes, stories, key wins. |
Case studies | Tell the story of someone the funding has helped. Names can be redacted automatically for safe sharing. |
Outcomes | Record the outcomes achieved. Pull them straight from your linked campaign, or add your own. |
Goals | Set out your short and long-term goals, and note whether they've changed since your original application. |
Sustainability | Explain how sustainable the work is and whether you plan to continue it. |
Photo / evidence upload | Attach photos, receipts, and supporting documents — each with a caption. |
Reminders | Track key milestones. Tick Reminder on any date and we'll email your team a few days before to prompt you to update the report. |
You can change which sections are active at any time, unticking a section moves it to Available sections without deleting any data you've already entered.
Filling in your report
Once your report is open, use the tabs across the top to move between sections:
Overview
Covers your logo, funding dates, goals, and significant dates. Fill this in first, it gives the report its structure and context.
Expenses
Track your budget line by line. Add lines manually or import from a CSV or Excel file, the AI will read the file and pull out each line's description, budgeted amount, and spent amount for you to review before saving.
If your actual spend differs from the plan, use the Reason for any under or overspend field to explain why. Funders appreciate transparency here.
You can also link photos or receipts from the Photos & Evidence tab to individual budget lines. An evidence icon will appear next to that line in your report.
Impact
Write your impact statement and record the outcomes you achieved. If you set outcomes in your campaign, click Pull from campaign to bring them in automatically. Add a reflection on what went well and what didn't — this is valuable for funders and for your own learning.
Case Studies
Add individual stories from people your funding has supported. Use the Redact names toggle to swap real names for "Person A", "Person B" and so on before sharing with funders. You can switch between the original and redacted versions at any time.
Sustainability
Explain whether this work will continue after the funding ends, and how.
Photos & Evidence
Upload photos, receipts, and supporting documents. Add a caption to each one. Photos linked here can be attached to individual budget lines in the Expenses tab.
Exporting your report
When you're ready to report back to your funder, click Download PDF at the top of your report. The PDF will include all the sections you've enabled, branded with your logo.
You can download it at any time, not just at the end of the project. Some charities export a draft early to share progress internally or with their board.
Tips for keeping reporting on track
Fill it in as you go. It's much easier to update expenses and outcomes monthly than to reconstruct everything at the end.
Use Reminders. Add your reporting deadline as a significant date with a reminder so your team gets a nudge in advance.
Upload documents as you receive them. Receipts, photos, and evidence are easy to lose — add them to the report straight away.
Pull outcomes from your campaign. If you set clear outcomes when you applied, use them as your baseline and record what you actually achieved against them.

Using Claude to help with reporting
If you have connected Fundin to Claude, it can pull your campaign data and help you draft reports, structure your evidence, and turn raw notes into polished funder updates.
There are 100s of workflows possible:
Collect beneficiary data automatically via Google Forms
Set up a Google Form to capture feedback from the people you support after each session — satisfaction scores, key changes they have noticed, quotes. Then ask Claude: "Pull the latest responses from my beneficiary feedback form and summarise the key outcomes for my [funder name] report." Claude reads the form responses and turns them into structured evidence without you having to manually collate anything.
Build a running case study bank from your team
Create a shared Google Form your staff and volunteers can fill in whenever they have a good story — a single question like "describe a moment where this project made a difference this week." Ask Claude at the end of each month: "Read the case studies submitted this month and pick the three strongest ones for a grant report. Write them up in two paragraphs each." Your team feeds the bank, Claude does the writeup.
Turn session registers into output data
If your team logs attendance in a Google Sheet, ask Claude: "Read my attendance spreadsheet and calculate our total outputs this quarter — number of sessions delivered, total attendees, average attendance per session." Paste the result straight into your report.
Monthly impact digest to send to trustees
Set up a recurring prompt at the end of each month: "Pull my campaign outcomes from Fundin, summarise this month's progress, and draft a short update I can send to my board." Claude produces a one-page digest combining your Fundin data with anything you paste in — no manual report writing needed.

🔴 Important: Always check the draft against your actual data before sharing with a funder. Claude works from the information in your Fundin account — if your campaign outcomes are not up to date, the report will not be accurate.
