Understanding your pipeline

How your applications move through each stage, what triggers each change, and how to record an outcome.

Your pipeline gives you a live view of every application you're working on, from first draft to final outcome — all in one place. You move your own applications through it.

The stages

Opportunities / Favourites

Grants you've favourited from your matches but haven't started yet. See Building your Opportunities for how to add to and manage this list.

In progress

Once you've chosen a grant and clicked Apply Now, it sits here while the AI generates the first draft.

To review

Your draft is ready. This is the stage that needs action from you — read it, edit it, and approve it when you're happy. See Drafting bids for how the AI puts a draft together.

🔵 Info: Applications in this stage may show an alert such as "Info required" if something is missing before it can move on.

Submission

Once you've approved a draft, it moves here. Submit it yourself directly to the funder.

Outcome

Once submitted, the application waits here for a decision. You'll see one of three statuses:

  • Submitted — sent to the funder, awaiting a decision

  • Won — the application was successful

  • Lost — unsuccessful this time

Recording an outcome

When you hear back from a funder, open the application in your pipeline and click Mark as Won or Mark as Lost. If successful, you can add the amount awarded so your funding totals stay up to date.

💡 Tip: Keep this up to date even for grants you drafted a while ago — it's what keeps your matched grants and reporting accurate.
